Specific Responsibilities

1. Provide support in review of availability of required items with vendors, consolidate price information and submit to supervisor for budgeting and planning purposes. 

Participate in the consolidation of requirements from users within MSH offices in Lilongwe central office, district and zone offices, and prepare weekly action plans. 

2. Review and process purchase requisitions, ensuring adequate detail and accuracy of information therein.  Support in the review of availability of requested items with vendors and ensure timely supply of the same, while ensuring clear communication of specifications.

3. Ensure bids and request for quotes are obtained according to policy.  Receive quotations and compare specifications based on criteria. With supervisor’s guidance, negotiate for price reduction (terms and quality) where possible and prepare quotation summaries.

4. Based on approved quotation summaries, assist in the preparation of purchase orders to vendors according to organisation policies on procurement. Communicate with vendors on delivery, invoicing, establishing pay terms and maintaining vendor score cards/appraisals and enhance relationships to ensure optimal receipt of goods and services from vendors is realised by MSH.

Qualifications and Experience

Degree in a relevant field required or equivalent experience with 2 years’ procurement experience for USAID-funded organizations.  Strong computer skills in word processing, spreadsheet, and database programmes.  Experience with Microsoft Office, presentation software, and e-mail and Internet package preferred. Ability to prioritize tasks.  Strong organizational skills. Ability to work collaboratively with program, finance and operations staff toward the achievement of project and organization objectives helpful. Good interpersonal and communication skills, both written and verbal required. Business knowledge of English required, fluent English highly desirable. Skilled at working in a culturally diverse environment and with offices in multiple locations helpful.
