The Activities Coordinator will have responsibility for coordination of support functions for Central, district and zonal activities. S/he will keep abreast of all ONSE implementation activities and serve as the point person for coordination of ONSE Activity support services for the rest of the team.

Specific Responsibilities

  • Work with Technical Leads, zonal liaison managers and DCs to consolidate and continually update the quarterly activity plan.
  • Work with district, zonal and central office staff in preparing all necessary documentation for procurement and funding of various specific activities.
  • Maintain an effective tracking system and coordinate technical and budget approval on funding requests, while keeping requestors updated on funding status.
  • Assist with providing on-going support and training the Administrative Coordinators in the districts on budget development, reviews, logistics as well as conference organization
  • Provide support to the M&E Specialist in ensuring that reports on training activities and workshops, as well as trip reports for field visits, are submitted in a timely manner and in the appropriate format.
  • Maintain a complete and user-friendly filing system, in both electronic and hard copy format, for all project-funded implementation activities.
  • Provide coordinating role in activity logistics, supporting the procurement and operations units in making conference bookings, accommodation arrangements and travel arrangements
  • Assists the Senior Management Team and Technical Team Leaders to plan for, develop detailed schedules, and help coordinate meetings and activities for international short term technical assistants ( STTA).
  • Manage the google travel calendar for ONSE Activity

Qualifications and Experience

  • Bachelors degree in business administration, public administration or related field.
  • Diploma in business administration, public administration or related field with 6 years of relevant work experience in the field of project management/support may be considered.
  • Ability to assess problems and develop solutions.
  • Excellent written and spoken communications skills in English and Chichewa.
  • Excellent team player with solid inter-personal communication skills.
  • Excellent organization skills and extreme attention to detail are essential.
  • Extensive administration experience (minimum 5 years) particularly in the NGO setting. Experience with international donors preferred.
  • Proven reliability in the timely discharge of assigned responsibilities.
  • Demonstrated competence with MS Office suite; familiarity with MS Project particularly advantageous.
  • A willingness to learn, contribute and share the work load; adaptability and flexibility under sometimes uncertain work procedures; a pleasant demeanor and sense of humor.
