Overview

The Human Resources/Recruitment Coordinator will provide administrative support to the Talent Acquisition and HR Partner teams. With direction, he/she will follow standard protocols to support the Talent Acquisition team in the full recruitment cycle, offering administrative, compliance, and logistical support for position and proposal recruitment. She/he will coordinate the new hire process from on-boarding to orientation under the direction of the HR Partners team. Additionally, she/he will be responsible for a full range of duties including, but not limited to: providing logistical support and preparing materials for meetings, processing employment letters and terms of assignments, organizing and maintaining employee files, and acting as a resource for answering HR inquiries.

Specific Responsibilities

Provide support to TA function from recruitment start-up to new hire phase (45%)

  • Post MSH jobs internally and externally with absolute accuracy.
  • Manage logistical arrangements for candidate interviews: establish interviewer and candidate availability, schedule meetings via Google Calendar, provide logistical support for meetings on-site and coordinate travel arrangements where necessary.
  • Assist Talent Acquisition staff by gathering, processing, and maintaining new hire paperwork files to ensure compliance with State, Federal and MSH policy.
  • With direction from the recruiters, populate compensation analysis and coordinate with Compensation Team to ensure the most updated country salary bands are being utilized.
  • Draft offer letters.
  • Work closely with recruiters on each hire to maintain candidate files and be the point of contact to finalize all necessary paperwork in the new hire files in and ensure compliance with MSH standards and legal requirements.
  • Coordinate the administrative close out of the candidate process in the ATS HR and enter new hire information in HR systems.
  • Manage the Intern Recruitment.

Coordinate new hire orientation and off-boarding (40%)

  • Prepare and lead the on-boarding of new employees and interns including collection of all information needed for the employment documentation and entering new hire information into HR system; as well as the logistics of the orientation process in the US based office. 
  • Coordinate new hire orientation with supervisor/or point person as well as other MSH team members.
  • Conduct New Employee training and I-9 employment eligibility process via E-Verify.
  • Provide logistics & necessary information/documents to new hire prior to their arrival.
  • Serve as a resource for new hires to ensure a positive onboarding experience.
  • Collect new hire/ payroll paperwork for filing and processing.
  • Prepare separation paperwork and follow-up HR actions.
  • Schedule Exit Interviews and enter data into HRIS.

General Administration (15%)

  • Conduct written and verbal employment verification and provide employment letters upon request.
  • Assist the HR Partners with routine tasks. Process routine HR action in HRIS.
  • Maintain personnel files in compliance with applicable legal and donor requirements.
  • Assist HR Partners with scheduling meetings and other logistics as required.
  • Stay abreast of labor law poster updates across all US offices.
  • Assist HR Director with special projects as assigned
  • Provide backup to HR Associate as necessary.

Qualifications and Experience

REQUIRED MINIMUM EDUCATION:

Required: Bachelor's degree or equivalent

Preferred: Bachelor's degree with focus in Human Resources

 

REQUIRED MINIMUM EXPERIENCE:

Required: 1 year of related experience

Preferred: 1-3 years of experience working with HR and/or within an international organization or an organization with multiple offices

 

KNOWLEDGE AND SKILLS:

  • Ability to perform administrative work of a complex nature with direction
  • Strong organizational skills 
  • Excellent interpersonal skills and proven ability to communicate effectively regarding sensitive and confidential matters.
  • Proficiency with MS Office Suite, Human Resources Information Systems, Applicant Tracking Systems, Google Drive
  • Excellent English communication skills required in both verbal and written.

Preferred/Plus:

  • Additional language skills in French or Spanish advantageous
  • Experience in a global organization highly preferred
  • Excel skills and prior responsibility for report generation a plus
  • Demonstration of ability and motivation to support a diverse team a plus
